Getting started

For accountants and bookkeepers: your Clients list

Free for accountants: one list of every business you look after with what needs doing in each, one click into their books, your firm's own books free, and client books you set up and hand over.

TallyPip is free for accountants and bookkeepers. You get a Clients list with every business you look after and what needs doing in each, you open any client's books in one click, and your firm's own books are free while you have a client.

Set up your firm

  1. 1Sign up (or sign in), then choose Set up your firm, free (or open Your profile › For accountants and bookkeepers).
  2. 2Type your firm's name (your own name if you work alone) and where it's based.
  3. 3Press Set up my firm. Your firm's own books are made, and Clients appears at the top of the menu.

Get your clients in

  • A client already on TallyPip invites you: they go to Settings › Manage users › Invite your accountant and type your email. Accept the email's link and they're in your list.
  • A client new to TallyPip: press Add client on the Clients page, type their business name and country. The books get the client's own free trial; you don't pay. Then invite the owner (next).

Hand a client's books over

  1. 1Open the client's books (they're yours until you hand them over) and go to Settings › Manage users.
  2. 2Under Hand … to your client, type the owner's email and press Invite the owner.
  3. 3When they accept, they're the owner: the free trial and the subscription are theirs, and you stay on as their accountant.

Up to 10 client books can wait for their owner at a time. Hand some over before setting up more.

Needs attention: across all your clients

At the top of Clients, Needs attention gathers what needs you across every client, grouped, most urgent first:

  • Bank connections to fix: a connection the client needs to sign in to their bank again.
  • Plans that need the owner: books read-only until the owner chooses a plan, a payment that didn't go through, or a trial ending within 7 days (including books you haven't handed over yet).
  • Sales tax due: a return due within 7 days, or late.
  • Month-end reviews overdue: last month's review not finished after the 15th. Only for clients you review (one finished before, or this one started), so clients you don't review aren't flagged.
  • Clients answered your requests: answers waiting for you to read.
  • Overdue work: your firm's Work tasks past their due date.
  • Not reconciled lately: an account never reconciled, or not reconciled for over 60 days.

Press Open next to one to go straight to that page in the client's books (Banking, Reconcile, the month-end review, client requests or sales tax), or See work for its tasks. When nothing needs you, it says so.

The weekly email

Every Monday, everyone on your firm's team gets an email with what needs attention across the clients they look after, and their own tasks due that week (or overdue). If there's nothing, there's no email. To stop it, press Turn off next to Weekly email at the bottom of your Clients list (and Turn on to get it again). Each person chooses for themselves.

What the Clients list shows

  • Work: your firm's overdue tasks for the client, or how many are to do.
  • For review: bank transactions waiting to be sorted.
  • Requests: questions your client has answered (waiting on you) and ones waiting on them.
  • Banking: bank accounts, and any connection that needs the client to sign in to their bank again.
  • Last reconciled: the account reconciled longest ago (or how many never were).
  • Books closed: the closing date, if any.
  • Overdue invoices and the next sales tax payment due (or late).
  • Plan: trial days left, active, payment due, or read-only.
  • Month-end review: whether last month's review is done, started or not started.

Tabs across the top of Clients take you to your firm's Work, Send reports (a month's reports to many clients), Activity (every client's changes) and, for firm owners and admins, Firm team.

Search by business, owner or email, or show only clients that need attention (anything in the list above, or in Needs attention). Press Open books to work in a client's books; Clients at the top of the menu brings you back.

What you can do in a client's books

As their accountant: the books, reports, chart of accounts, reconciling, journal entries, closing the books and the audit log. Not their team, business settings or subscription (unless they make you an admin). Everything you do is in their audit log under your name.

Accountant tools

Ask your client about a transaction, or for a document, in Client requests: they answer in TallyPip with files, and both of you get emails.

Running a firm with staff? Firm team lets you invite them and choose who works on which client, with a lead for each.

Across all your clients: Work (your firm's tasks, Work), Send reports (a month's reports to many clients at once, Month-end review) and Activity (every client's changes in one list, audit log) are tabs at the top of Clients.

The briefcase at the top of the page opens Accountant tools: Clients, Month-end review, Client requests, Reconcile, Reclassify transactions, Write off invoices, Journal entries, Chart of accounts, Close the books, Voided/deleted transactions, Trial balance, Prep for taxes and the Audit log.

Your firm's own books

Free while you have at least one client. If you have no client for 60 days after setting up your firm, they go on to choosing a plan like any other business.
