Use TallyPip with Zapier

Connect TallyPip to thousands of other apps with Zapier: send new invoices and payments to your other tools, or add customers, invoices, bills and expenses from them, without copying anything by hand.

Zapier links apps together with Zaps: when something happens in one app (the trigger), Zapier does something in another (the action). TallyPip's Zapier app works both ways. For example: post each paid invoice to your team chat, add a row to a spreadsheet for every expense, turn each form sign-up into a customer, or make an invoice for every online order.

Who can do this

Owners and admins of a business, with a Zapier account (Zapier has a free plan). Zapier is its own company: its terms, prices and privacy policy apply to what it does.

What it can do

  • Triggers (start a Zap when…): a customer is added, an invoice is made, an invoice is sent, an invoice is paid in full, a payment comes in, a vendor is added, a product or service is added, a bill is entered, or an expense is recorded. TallyPip tells Zapier straight away, so Zaps run within seconds.
  • Actions (TallyPip does…): add a customer, add a vendor, add a product or service, make an invoice (a draft, or sent: in the books and owing), record a payment on an invoice, enter a bill, or record an expense.
  • Searches: find a customer or vendor by email or name, or an invoice by its number. Find or create adds the customer or vendor if there isn't one yet, so they aren't added twice.
  • Not: change or delete anything already in your books, or email invoices. Do that in TallyPip itself.

Get the TallyPip app in Zapier

  1. 1Open the apps directory and choose Zapier.
  2. 2Press Get app. Zapier opens with an invitation to use TallyPip.
  3. 3Sign in to Zapier (or make a free account) and press Accept Invite & Build a Zap.

Until Zapier lists TallyPip in its own app directory, the invitation is how you get it. You only accept it once; after that, TallyPip is in Zapier's app list for you.

Make your first Zap

  1. 1In Zapier, press Create, then Zap.
  2. 2Click the Trigger step and choose the app that starts it. To start from TallyPip, search TallyPip and pick an event such as Invoice Paid.
  3. 3When it asks for an account, press Sign in. TallyPip opens in a small window: sign in with your own TallyPip email, choose the business under Which business? and press Allow. (Use a sandbox business first if you'd like to practise without touching your real books.)
  4. 4Press Test trigger. Zapier shows a few recent records from TallyPip so you can see what comes through.
  5. 5Click the Action step and choose what should happen, in TallyPip or another app. Fill in its fields; to use something from the trigger, click a field and pick it from the list (for example the customer's name or the invoice total).
  6. 6Press Test step, then Publish. The Zap is on, and runs by itself from now on.

Good to know

  • Money is typed the usual way (125.50) and dates as YYYY-MM-DD; Zapier's drop-downs list your own customers, products, accounts and expense categories.
  • Everything a Zap adds goes through the same checks as when you add it yourself: the next invoice number, your payment terms and sales tax, your closing date, and balanced entries in your books. It shows in your lists, reports and Audit log under the name of the person who connected Zapier.
  • A payment a Zap records goes into Undeposited Funds unless the Zap chooses an account, ready for your next deposit.
  • If TallyPip refuses something (for example a date before your closing date, or an invoice number already used), the Zap's run shows TallyPip's reason in Zapier's Zap history.
  • Zapier appears in Settings › Connected apps under Apps you've connected, and the owners and admins get an email when it's connected.

Stop it

Turn a single Zap off in Zapier. To stop Zapier reaching your books at all, open Settings › Connected apps and press Disconnect next to Zapier. Every Zap using TallyPip stops straight away; connect again from Zapier to use them again.

Something not right?

  • "This app can't connect" when you sign in: follow what it says. If it mentions the app's address, try again from Zapier; still stuck, write to us from Help.
  • No business to choose: only an owner or an admin can connect Zapier. New to TallyPip? Set up your business first.
  • Zapier asks you to reconnect TallyPip: it was disconnected, the person who connected it left the team, or it wasn't used for 100 days. Reconnect it in Zapier's App connections.
  • "This business is read-only": the free trial or plan has ended. Choose a plan in Settings › Subscriptions and billing and your Zaps carry on.
  • A trigger doesn't fire: check the Zap is on and connected to the right business. Records brought over from another app when you switched (past transactions, starting balances) don't start Zaps.
