Track time for employees and contractors

Record the hours your employees and 1099 contractors work, for which customer and service, billable or not, and see time by customer or by person.

Time (in the menu) keeps the hours people work: who worked, on which day, for which customer and service, and whether you'll bill it. Nothing goes into your books until you put billable time on an invoice.

Add your employees

  1. 1Go to Time › Employees and press Add an employee.
  2. 2Enter their Name. Email and phone are optional.
  3. 3Optionally add a Billing rate per hour (what you charge customers for their time) and a Cost rate per hour (what an hour of their time costs you).
  4. 4Press Save. Employees don't need a TallyPip login.

Add my team members adds everyone on your TallyPip team as an employee in one go. Contractors are your vendors marked as 1099 contractors: they show up for time by themselves.

Record time

  1. 1Press + Create › Time entry (or New time entry on the Time page, or New transaction › Time entry on a customer's page).
  2. 2Choose the Date and Who did the work: an employee or a contractor.
  3. 3Choose the Customer and its Project (see Projects) and the Service if there are any, and a Tag if you like.
  4. 4Enter the Time: 1:30 or 1.5 both mean an hour and a half (90m and 1h 30m work too).
  5. 5Add a Description. It's what the invoice line says if you bill it.
  6. 6Tick Billable to bill it later. The Rate per hour starts at the person's billing rate, or else the service's price; change it if you need to. You see what it Comes to.
  7. 7Press Save (or Save and new for the next one).

Let employees enter their own time

  1. 1Go to Manage users (the gear › Manage users) and invite them with Time & expenses only.
  2. 2They get an email, sign up (or log in) with that email and accept.
  3. 3TallyPip links them to their employee: the one with the same email in Time › Employees, or a new one. Their name shows Signs in there.

When they sign in they see only Time (their own time entries and their weekly timesheet) and their own Expense claims (see Expense claims). They can't see other people's time, rates, amounts, customers' balances, reports, settings or anything else. If they tick Billable, the rate is their billing rate (or the service's price), set for them. You see their time with everyone else's, and bill it as usual.

Fill in a whole week

  1. 1Go to Time › Weekly timesheet (or + Create › Weekly timesheet) and choose Who. The arrows move a week back or forward.
  2. 2Each row is one kind of work: choose the Customer (and Project), the Service, a Description, and tick Billable with a rate per hour if you'll bill it.
  3. 3Type the hours under each day: 1:30 or 1.5. The totals for each row, each day and the week add up as you type.
  4. 4Press Add a row for more, then Save.

Each day you fill in is an ordinary time entry, so it shows on the Time page and can be billed like any other. Opening the week again shows what's there: change a number, or empty a cell to delete that time. Time already on an invoice shows a lock and can't change here. If anything in the week can't be saved, nothing is, and TallyPip says which row and day to fix.

See and change time

  • Time › Time entries lists time for a date range. Filter by Who, Customer, Show (billable not invoiced, on an invoice, not billable) or a word in the description.
  • Group by customer or by employee or contractor gives subtotals; the same views are in Reports as Time activities by customer, Time activities by employee and Unbilled time.
  • Press a date to change or delete that entry. Time that's on an invoice can't change; take it off the invoice first.
  • An employee with time or expense claims can't be deleted: Make inactive hides them from new entries and keeps their time and claims.
