Invoices and sales
PDF copies of your invoices and estimates
Every invoice, reminder and estimate email carries a PDF of the document in your look. Download one any time, or switch the attachment off.
When you email an invoice or estimate from TallyPip, a PDF of it goes with the email ("Invoice INV-0001.pdf", "Estimate EST-0001.pdf"), as well as the link to it online. Payment reminders carry the invoice's PDF as it stands that day, with anything already paid.
What's in the PDF
- Your look: the template, accent colour, logo and column titles from Settings › Sales.
- Everything on the document: who it's for, the dates, the P.O. number, every item, any discount, tax by name, the total, what's been paid and what's left, your notes and your footer.
- What you turned on under Sales form content: the service date and SKU columns, and the shipping details (ship to, ship via, shipping date, tracking number and the shipping fee). See Shipping, service dates and SKUs.
- PAID once an invoice is paid in full (or VOID if it was voided).
- A link to it online: "See and pay this invoice online" when you take payments online, "See this invoice online" otherwise, and "See this estimate online to accept or decline it".
- A long one carries on over more pages, with the column headings repeated and page numbers.
Download a PDF yourself
- 1Open the invoice (from Invoices) or the estimate (from Estimates).
- 2Press Download PDF, next to Print or save PDF.
- 3The PDF opens in a new tab: save it, or attach it to an email of your own.
Your customer has a Download PDF button on the online invoice or estimate too, so they can always get a fresh copy. See Invoices and estimates your customers open online.
Switch the attachment off, or back on
- 1Go to Settings › Sales.
- 2Under Emails, untick (or tick) Attach a PDF of the invoice or estimate to every invoice, reminder and estimate email.
- 3Press Save changes. It applies to the next email you send.
With it off, emails carry only the link: your customer can still print the document or save it as a PDF from its online page.
If something's not right
- My logo isn't on the PDF: the PDF shows PNG and JPG logos. A WebP or GIF logo shows on screen but not in the PDF, so upload it as PNG or JPG in Settings › Sales. Check that Show the logo on invoices and estimates is ticked too.
- Some letters show as ?: the PDF's font covers English, French, Spanish and other Western European letters, curly quotes, dashes and the € sign. Letters from other alphabets show as "?" (and some accents are left off). The online page shows them all.
- My customer didn't get the PDF: check that the setting above is ticked. Some email systems hold back attachments; your customer can download the PDF from the link in the email.
- The PDF doesn't look exactly like the screen: it has the same layout and everything the same, in a standard font every PDF reader has.
