Invoices and sales
Invoices and estimates your customers open online
Every invoice and estimate you email has a link: your customer sees it in your look, prints it or saves a PDF, pays the invoice and accepts or declines the estimate. You see when they've opened it.
Every invoice and estimate you email from TallyPip carries a link to it online. Your customer doesn't sign in or download anything: the link opens the document in your look (your logo, colours and columns, from Settings › Sales).
What your customer sees
- An invoice: the amount due and the due date, the whole invoice, Print or save as PDF and Download PDF. If you take payments online, there's a Pay button too (see Get paid online). Once it's paid, it says so.
- An estimate: the total, how long it's good for, the whole estimate, Print or save as PDF, Download PDF, and Accept estimate or Decline. To answer, they type their full name (that's how they sign) and can add a note, such as a start date or why it's not for them.
In the email it reads See it online under an invoice's amount due (See and pay it online when you take payments online), and See it online, and accept or decline it there under an estimate's total. Every reminder for the invoice has the same link.
Share the link yourself
- 1Open the invoice (from Invoices) or the estimate (from Estimates).
- 2Find Online invoice (or Online estimate) below the document.
- 3Press Copy link and paste it into a text or chat, or press Open to see exactly what your customer sees.
Opening your own link while you're signed in to TallyPip doesn't count as your customer viewing it.
See when your customer opened it
The first time your customer opens the link, the invoice or estimate shows Viewed by the customer on that day, under Online invoice or Online estimate; an invoice also shows Viewed by the customer next to its amount at the top. It counts when the page is on someone's screen, so a mail service that only checks the link for safety doesn't mark it viewed.
When your customer accepts or declines an estimate
- The estimate becomes Accepted or Declined, with the name they typed and the date: "Accepted online by Dana Oak on October 3, 2026". Their note is shown under Online estimate.
- You're emailed straight away (every owner, and whoever made the estimate).
- The Audit log shows the change as made by The customer, online.
- Accepted? Press Create invoice to invoice all of it, or a deposit now and the rest later (see Invoice an estimate in parts).
Each estimate takes one answer. If something changes, press Reopen on the estimate: the online answer is cleared and your customer can answer again from the same link. Marking it yourself with Customer accepted or Declined replaces an answer given online.
An estimate can't be answered online after its Valid until date. To give more time, edit it and choose a later date; the same link works again.
If something's not right
- There's no link on the invoice or estimate: a draft doesn't have one yet. Send it, or mark it as sent, and the link appears. Only people who can make changes see the link; everyone can see whether it was viewed.
- My customer says the link doesn't work: ask them to use the whole link from the email (some email apps break long links across lines), or copy it again from the invoice or estimate and send it to them. A deleted invoice or estimate has no page any more.
- There's no Pay button: Pay shows only when you take payments online (Settings › Payments) and the invoice still has something owing. If you turn online payments off, the invoice can still be seen and printed from links already sent, without Pay.
- It doesn't say Viewed: your customer may have read the email without opening the link. It changes the moment they open it.
- Accept and Decline aren't there: the estimate already has an answer, its Valid until date has passed, or it's all invoiced.
Anyone who has the link can see that one invoice or estimate, just like anyone who sees the email. Links are long and random, search engines don't list them, and each one opens only its own document. Share them only with your customer.
