Delayed charges and credits: bill it on the next invoice

Note something to bill a customer (or money off) now, and add it to their next invoice when you send one. Nothing goes in your books until then.

Did a small job, or sold something, but don't want to send an invoice for it on its own? Make a delayed charge: it waits on the customer until their next invoice. A delayed credit is the same for money off (a goodwill credit, or a discount you promised). Neither is in your books until it's on an invoice you send, so nothing is counted twice.

Make a delayed charge or credit

  1. 1Choose Create › Delayed charge (or Delayed credit).
  2. 2Pick the customer and the date, and add the items as on an invoice: product or description, quantity and price, and whether each is taxable.
  3. 3Add a memo if you like (only you see it), then press Save.

It's listed in Sales & Get Paid › [Sales transactions](/sales/all) as Open until it's on an invoice. Open it to change or delete it.

Add it to an invoice

  1. 1Start an invoice for that customer (Create › Invoice, or Create invoice on the delayed charge).
  2. 2Under the items, Add to invoice lists their open delayed charges and credits. Press Add on one, or Add all.
  3. 3Its items join the invoice, marked From a delayed charge (or credit). A credit's prices are below zero, so it lowers the total.
  4. 4Change anything you need, then save and send the invoice as usual.

Once all its items are on an invoice, the delayed charge says Closed and links to that invoice. Each item can be on only one invoice.

Changed your mind?

  • Take it off the invoice: remove its line before you save. It's open again for the next one.
  • Void the invoice: its delayed charges and credits are open again too.
  • Change or delete it: only while none of it is on an invoice. Once it is, change the invoice instead.

Good to know

  • Sales tax is worked out on the invoice, at its rates, like any other line.
  • A delayed credit can't take an invoice below zero. If it's more than the invoice, give a credit memo instead.
  • Classes: each line's class goes across to the invoice with it.
