Sub-accounts: accounts under another account

Put an account under another one, like Telephone and Internet under Utilities, so reports show them together with a total.

A sub-account sits under another account of the same group: Telephone and Internet under Utilities, or Fuel and Repairs under Vehicle. You still choose the sub-account on your forms; reports show each one under its parent, with Total for Utilities adding them up.

Add a sub-account

  1. 1Go to Accounting › [Chart of accounts](/accounting) and press Add a new account (or the one in the group you want).
  2. 2Choose What kind of account?, then under Sub-account of choose the account it goes under.
  3. 3TallyPip suggests a free code next to its parent's. Keep it or type another in the same group.
  4. 4Type its own Name, like Telephone. Its full name becomes Utilities / Telephone, shown under the field.
  5. 5Press Add account.

Owners, admins and accountants can add and change accounts.

Move or rename one

  • Press the pencil beside an account to change its Name or choose another Sub-account of, or None: a main account to take it out from under its parent.
  • Its sub-accounts move with it, and renaming a parent renames them too (Utilities / Telephone becomes Bills / Telephone).
  • Its code and type stay the same, so nothing in your books changes: only where it shows.
  • A sub-account goes under an account of its own group (an operating expense under an operating expense, say), up to 5 levels deep.

Where you see them

  • Chart of accounts: each sub-account indented under its parent. The parent's balance includes its sub-accounts' (with sub-accounts).
  • Reports: the profit and loss and the balance sheet show sub-accounts under their parent with a total. Downloads show the same.
  • Forms and lists: a sub-account goes by its full name, like Utilities / Telephone, so you can tell which one it is.

Hiding

  • Hide the sub-accounts first, then the parent: a parent can't be hidden while its sub-accounts are still in your lists.
  • To bring one back, show its parent first.

Switching from another app? Its sub-accounts (“Utilities:Telephone”) come over as sub-accounts when you import your chart of accounts. See Import data.
